
What an access control system actually is
Strip away the brochures and every system is four parts: a reader on the door (card, PIN, fingerprint or face), a controller that decides whether to open, an electric lock that does the opening, and software that holds the rules and the logs. Add an exit button on the inside and a break-glass release for emergencies, and that is a door.
The software is where the value sits. It lets you give each person access to specific doors at specific times, revoke it in seconds when someone leaves, and answer 'who was in the store room on Thursday night?' from a log instead of a guess. Time attendance is the same data read differently: the first and last tap of the day become clock-in and clock-out.
One detail that matters more in the UAE than the brochures admit: a locked door on an escape route must still let people out in an emergency, and how that is achieved depends on the lock. A fail-safe maglock has to drop on fire alarm and on power loss, and needs a direct egress release beside the door; a fail-secure electric strike or an electrified panic bar keeps the door secure from outside while the handle always opens from inside. Civil Defence approval assumes a compliant design either way, so if an installer quotes your doors without asking about escape routes or where the fire alarm panel is, that is the moment to ask questions.
Card, fingerprint or face: choosing the credential
Cards (RFID or Mifare) are the cheapest and the fastest at a busy door, and the easiest to hand to a visitor or a contractor for a day. Their weakness is the same thing: a card can be lent, lost, or left in a drawer, so it proves someone had it, not who used it.
Fingerprint fixes the lending problem and stays inexpensive, but it depends on the finger. Dust, cement, cuts and gloves on a site or in a workshop cause repeat failures at the reader, and some staff are uncomfortable touching a shared surface. In an air-conditioned office it works well; on a staff accommodation gate at 6 AM it often does not.
Face recognition is contactless, clears a queue at shift change quickly, and cannot be lent. Modern terminals cope with helmets and beards, and the better ones with masks. The cost is a higher price per device, a need for decent, even lighting (harsh backlight from a glass entrance is the usual culprit), and outdoor units that are genuinely rated for a UAE summer — look for IP65 and an operating range that covers 50°C, not the 40°C some datasheets quietly stop at.
Most sites end up mixing them: face or fingerprint for staff attendance at the main entrance, cards for visitors and contractors, and a PIN as the fallback on the server room. The reader is chosen per door, not per company.

Time attendance: from the door to payroll and WPS
Attendance is where the system pays for itself. The same tap that opens the door records a time, and the software turns those times into shifts, lateness, overtime and absence according to rules you set: a grace period, split shifts for retail, night shifts that cross midnight, and reduced hours in Ramadan. That last one catches out systems that were never localised — check it before you buy, not the week Ramadan starts.
From there the data flows into whatever pays people: an HR platform, an ERP, or a payroll sheet. Payroll still produces the WPS file — attendance is not a payroll system — but it hands payroll clean hours instead of a spreadsheet someone typed up on the 28th. Month-end goes from days to an afternoon, and buddy-punching ends the day you move from cards to face.

Sizing it for your site
A small office with one or two doors needs a single controller, a face-or-card reader at the entrance and an exit button inside, and it can run from a cloud dashboard with no server to maintain. A multi-branch business wants every site under one screen, so HR sees each branch's attendance without phoning it, and a person's access can be revoked everywhere at once.
Warehouses, workshops and staff accommodation change the hardware, not the software: outdoor-rated readers, turnstiles or a full-height gate where a door cannot be held open, vehicle barriers where needed, and anti-passback so a card handed back through the gate cannot be used for a second entry — noting that a swinging door does nothing about the people who follow a cardholder through; only the turnstile does. Clinics and schools add visitor management — a printed badge with an expiry, and a log that satisfies an auditor.
Two things sit underneath all of it. IP readers and face terminals need a network drop and power at the door (PoE makes that one cable); readers wired back to a controller over OSDP or RS-485 need a run to the controller instead, with the controller on the network. Either way the cabling has to reach the doors before the readers do. And tying the system to your CCTV means a door event bookmarks the footage: 'the store room opened at 02:14' becomes a clip, not a search.
Mistakes we see in UAE installs
The commonest is a maglock that does not release on the fire alarm, because the access installer and the fire contractor never spoke. The second is an outdoor reader that worked beautifully until July. Then the quieter ones: the whole database living on one PC under a desk with no backup; access never revoked when staff leave, so a visa cancelled in May still opens the door in September; and a shared 'master card' that turns the audit log into fiction.
Biometrics also carry legal weight. The UAE Personal Data Protection Law (Federal Decree-Law 45 of 2021) treats biometric data as sensitive personal data, so tell staff what is collected and why, keep templates on the device or a server you control, and know where a cloud provider stores them before you sign. A fingerprint template is not a photograph, but it is still personal data belonging to your people.
When a keypad is genuinely enough
A three-person office with one door and no payroll headaches can live with a good keypad lock and the habit of changing the code when someone leaves — and we would say so rather than sell you a controller. The calculation changes at around ten staff, or the first month a payroll dispute eats a day, or the first time you need to know who opened a door and cannot. From there, a properly specified system is one of the few security purchases that pays for itself on the HR side before it ever stops an intruder.
